A Standard Operating Procedure is a written, step-by-step instruction for how a specific task is to be performed. SOPs ensure that every person in the business performs every task the same way, every time, regardless of their experience level or whether the business owner is on site.
WHY SOPs MATTER IN RESTORATION AND CLEANING
In a business where quality depends on technique — chemistry dilution, equipment placement, moisture monitoring, waste disposal — individual variation in method produces individual variation in results. Some technicians will consistently perform well. Others will develop shortcuts that reduce quality or create compliance risk. Without an SOP, there is no defined standard to train to, no benchmark for quality auditing, and no basis for addressing consistent underperformance.
SOPs also protect the business legally. In a WHS incident or a client dispute, being able to demonstrate that the task was covered by a written SOP and that the worker was trained on it is evidence of due diligence. The absence of SOPs and documented training, by contrast, is evidence of inadequate safety management.
WHAT A USEFUL SOP CONTAINS
An SOP that sits in a folder and is never used provides no benefit. A useful SOP is concise enough to read and follow, specific enough that there is no ambiguity about what must be done, and accessible to workers at the point of performing the task.
Every SOP must identify: the task it covers, who is responsible for performing it, the materials and equipment required, any PPE required, the step-by-step procedure in numbered sequence, what to do if something goes wrong, the standard the task must meet, and the frequency with which the task must be performed. The SOP must also carry a version number and review date so workers know they are working from the current version.
WRITING SOPs FOR COMMON RESTORATION AND CLEANING TASKS
Start by writing the procedure from the perspective of a competent worker performing the task correctly. Observe a skilled worker performing the task and document what they do in sequence. Review the draft SOP against applicable standards — IICRC S500, IICRC S100, the relevant SDS, and Australian WHS requirements — to confirm that the documented procedure meets all requirements.
Avoid jargon and technical language where plain language is clearer. An SOP that new workers cannot understand and follow defeats its purpose. Test every new SOP by having a worker with no prior experience in the task follow the SOP and perform the task. Anywhere they pause, misunderstand, or make a different decision than the SOP intended, the SOP needs revision.
Common restoration and cleaning tasks that must have SOPs: pre-inspection procedure, equipment setup and deployment, chemical mixing and application, post-cleaning drying management, moisture monitoring and documentation, PPE donning and doffing, chemical container labelling, waste disposal, and equipment cleaning and storage.
IMPLEMENTING SOPs ACROSS A TEAM
An SOP library is only valuable if workers are trained on it and refer to it. Include SOP training in all new staff inductions. Require workers to sign a training record confirming they have read, understood, and been demonstrated on each SOP relevant to their role. Laminate SOPs for tasks performed in the field and attach them to equipment or store them in the vehicle for easy reference.
Review SOPs whenever: a process changes, a product is replaced, a regulation or standard is updated, a near-miss or incident reveals a gap, or a quality audit identifies consistent deviation from the SOP. Assign each SOP an owner — the person responsible for keeping it current. Update the version number and review date every time an SOP is revised, and retire all superseded versions from circulation.
